We understand you want to remain in control of your personal information and we take our responsibilities seriously and comply with all the Data Protection Regulations for England and Wales (including the new regulations known as GDPR for 2018). We can assure you that we only request and retain information that we need to make your buying experience seamless and to get your purchases to you swiftly. We keep your information confidential and do not sell or rent our customers’ personal information to third parties.

Persons below the legal drinking age in the country (18 years in the UK) are not eligible to use the Site and we ask that such persons do not submit any personal information to us. Any accounts which are created and not verified within one month as belonging to a person who is over 18 during their first purchase transaction, will be deleted from our database to ensure we are not inadvertently holding any personal information belonging to minors.

Personal information (information that is attributable to a specific individual) that we hold on all account holders and customers who have bought from us previously includes:

  • Telephone number (if provided)

  • Date of Birth
  • Buying history (and buying preferences if provided)

Customer credit card numbers are never stored by us. We use a third party processor, Stripe Payments who are subject to stringent security policies, to process all payments on the website. Saved credit card information is stored with them, rather than in our own electronic records. We ask customers never to provide us with their credit card number via email or phone but to purchase securely through the website.

Making a Purchase

All payments made on the website require us to take additional details from you including a delivery name and address, credit card details and a corresponding billing address. In order to process the payment for your product(s) and delivery, we share your name, address and card details with our card processing partner Stripe payments.

If you choose to save your card details to make checkout easier in the future, these will be stored securely with our partner.

Arranging Delivery

If you purchase product(s), the delivery name and address and sometimes your contact number will be provided to a third party courier company for the sole purpose of delivering the specific purchased product(s).

Your address may also be visible on the shipping labels to employees of the producer from which you have ordered the products of we are powering their online shop.

We have contracted assurances that our partners (producers and couriers) agree to not use this information for any other purpose, either in connection with such shipment(s) or separately from such shipment(s). The partners also agree not to separately contact you at any time for any reason other than your order. We may use other reputable courier businesses to get your delivery to you in the fastest and most efficient way and you consent to your Delivery Name, Address and Phone Number being shared with our chosen courier party.

Sending Info over Email

We ask customers to maintain their personal information in their account online, however, should the need arise to send us information over email so that we can amend an order or verify your age manually, you consent to us also storing this information in our email servers. Please do not send us personal information over email except where required or requested.

Automatic Logging of Session Data

Generic information about your computer’s connection to the Internet, called “session data”, will automatically be logged. This information is anonymous and can not be used to track your personal information. Session data consists of things such as IP address, operating system and type of browser software being used and the activities conducted by the user while on our site. An IP address is a number that enables computers attached to the Internet, such as our web servers, to know where to send data back to the user, such as the pages of the site the user wishes to view. We collect session data because it helps us administer our website, track correlative information and to collate statistics in relation to visitor traffic. We may use your IP address to help us diagnose problems with our server. Rest assured that this information can not be linked to you personally.

Opting Out of Communications

We need to contact you during the ordering and delivery process in order to make sure you get the confirmation of your purchase and the delivery information you need. We need your email address to do this, but if you have provided us with a mobile number then we or our courier partner may also use this to notify you about the delivery schedule or to troubleshoot a delivery if there’s a complication.

As a Boxtails UK Ltd. customer, you may opt-in at any time to occasionally receive updates from us about new producers, special offers, new Boxtails UK Ltd. services, and other items that may be of interest to you via email, text messages, phone or post. Where previous indication of consent has been provided, it is possible for you to opt-out at any time, in order to no longer receive these types of messages either through an opt-out feature in the message or through your account settings. Your account settings are accessible in the My Account section of the website, a link to which is available from any www.boxtails.co.uk web page.

We use a third-party company in order to manage some of our communications and your email address is therefore shared with MailChimp, a reputable and respected email management company.

We operate a small number of additional subscription clubs or services which are provided by a third party. It will be made explicitly clear if by purchasing the product you are also signing up for their mailing lists and giving permission for them to store yout data and contact you regarding this order. We have strict agreements and contracts with these partners which requires them to adhere to similarly strict data policies and you are also able to unsubscribe at any time.

Where Boxtails UK Ltd. ‘powers’ the online shop for a producer’s own website, we provide the code and access to our technology without customers having to leave the producer’s website. If you are shopping on their website but using Boxtails UK Ltd. to login, check out and order then your details are being provided to us as per this policy. If you choose to select the tick box on checkout that gives permission for us to share your basic information (name and email) with the brewery then we will do so. Where we are operating their online shop on their behalf they would often like to be able to contact those customers and add them to their own mailing lists for marketing purposes and we support this request by giving you the option to comply. You should check the producer’s own privacy policy carefully before agreeing and once the data has been provided you need to contact them directly to query, update and request removal from their records. It will always be made explicit and will require an active opt-in for you regarding sharing details with the producer.

Requesting, Updating or Deleting your Information

You can view the majority of information that we hold on your in the Your Account section of the website once you have logged in. Your personal details there can be updated at any time, except for the sales information such as prior delivery addresses and order histories.

We will also shortly (May 2018) create a downloadable report for you from the My Account section so you can easily see all the information stored against your account in our systems.

Should you need to update your information in another way or request that it be removed from our records you can send a request to us at the email address info@boxtails.co.uk. Please reference ‘Personal Information Update/ Deletion’ in your subject line. Boxtails UK Ltd. will attempt to respond to all reasonable requests within five business days of receipt.

Our Security Precautions

Our web site has security features in place to protect against loss, misuse and alteration of the information under our control. All personal information you provide to Boxtails UK Ltd. is transmitted using 128 bit Secure Server Software SSL (Secure Socket Layer) encryption. SSL is a proven coding system that allows your browser to automatically encrypt, or scramble, all of your personal data before you send it to us. It will not, therefore, be possible for your payment method data, name and address to be read as the information travels over the Internet. We also ask as part of our Terms and Conditions that you maintain the security of your account by not sharing your password with any third parties and ensuring it is secret and suitably complex.

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
